The purpose of this document is to go over how to create a Zoom non-recurring (one-time meeting) more than 30 days in advance.
Non-recurring Zoom meetings expire 30 days after they are created, not the date that they are scheduled to happen.
This does not apply to recurring meetings, which last for 365 days after either being created or used.
There are three options to work around the 30 day limitation of non-recurring Zoom meetings:
-
Don’t create the meeting until you are within 30 days of the meeting taking place
-
Create the calendar event in Outlook but don’t add a Zoom meeting to the event until you are within 30 days of the meeting taking place
-
Create a Zoom meeting within the Zoom dashboard
Set up one-time meeting more than 30 days in Advance
-
Sign into Zoom
-
Select the Meetings tab on the left hand side of your screen
-
Select Schedule a Meeting
-
Set your meeting Topic (title of the event)
-
Don’t set a date and time here. This will be done at a later step
-
You can add attendees here but it’s preferred to wait to add them once the event has been imported into Outlook so you can use your Contacts list and auto-fill features
-
-
IMPORTANT: for this to work you must select Recurring meeting > No Fixed Time
-
This will make a recurring meeting that only occurs once
-
You can leave everything below this option at default settings
-
-
Click Save
-
Click Outlook Calendar (.ics) to download the .ics file for the event
-
Go to your Outlook calendar
-
Select Add Calendar
-
Select Upload from file
-
Select Browse and upload the file you downloaded in step 8 (the file name should look something like meeting-87588233550.ics)
-
Select which calendar the event she be added
-
You should now see the event on your calendar within the hour that you create it
-
For example, if you created the meeting in Zoom at 3:26 PM, when you import the event into your calendar, it will be added at 4 PM
-
-
Update the meeting to the correct date and time
-
Invite people to the event
You now have a “one-time” meeting that won’t expire for 365 days!
